These terms and conditions govern the Byway Club Loyalty Programme. By participating in the Programme, members agree to these terms and conditions.
In these Programme Terms:
Account means a Byway customer account held by an individual customer.
Booking Terms and Conditions means Byway’s standard booking terms and conditions.
Business Day means a day other than a Saturday, Sunday or public holiday in England.
Club Discount means the percentage discount available to Members under the Programme, depending on their Tier.
Member means an individual customer who participates in the Byway Club Programme.
Programme means the Byway Club Programme.
Qualifying Booking means a Byway trip booking made by the Member through their Account, subject to these Programme Terms. Bookings made via travel agents are not applicable.
Tier means the Member’s membership level under the Programme.
Account status: Members must hold an active Byway account and meet the criteria set out below.
Prohibited actions: Member benefits are non-transferable and cannot be exchanged for cash, credited to other accounts, or shared with non-account holders.
Combining accounts: Unless Byway agrees otherwise in writing, bookings made through different Accounts cannot be combined for the purposes of calculating Tier status.
Tier calculation: Tier status is determined by the number of Qualifying Bookings made by the Member within the relevant rolling timeframe.
Tier: Explorer
Qualification threshold: 1 Byway trip
Timeframe: Upon booking
Tier: Adventurer
Qualification threshold: 3 Byway trips
Timeframe: Within a rolling 2 year period
Tier: Expert
Qualification threshold: 5 Byway trips
Timeframe: Within a rolling 3 year period
Booking confirmation: For the purposes of calculating Tier status, a trip is counted by reference to the date on which the booking is confirmed by Byway.
Tier advancement. Members will automatically move up a Tier when they make the required number of Qualifying Bookings within the relevant timeframe.
Application of benefits. Tier benefits apply from the date the Tier advancement is confirmed by Byway and Tier benefits apply to all bookings that have been made but have not yet departed after that confirmation date, unless Byway states otherwise.
Tier regression. Members may move down a Tier if the number of Qualifying Bookings within the relevant rolling timeframe falls below the threshold for their current Tier. A change in Tier status will not retrospectively alter Loyalty Discounts or benefits already applied to confirmed bookings but will affect all subsequent discounts or benefits, including on existing bookings.
Processing. A processing window of up to 7 business days may be required for account details to update. Members will be officially notified via email as soon as a Tier advancement is successfully processed.
Cancelled Bookings: For the purposes of Tier qualification and rolling booking counts, cancelled trips, except those cancelled in order to make a major change and rebook, remain valid and count towards the Member's cumulative trip total. All cancellations for the purpose of rescheduling/changing an existing booking, where the subsequent booking is substantially similar to the first, do not count towards the Member’s trip total for the purpose of Club benefits.
Explorer Members receive:
A 5% Loyalty Discount on eligible Byway bookings.
Adventurer Members receive:
A 7.5% Loyalty Discount on eligible Byway bookings.
1 free minor change per trip.
Access to exclusive promotions, subject to marketing preferences and applicable law.
Expert Members receive:
A 10% Loyalty Discount on eligible Byway bookings.
2 free minor changes per trip.
Access to exclusive promotions, subject to marketing preferences and applicable law.
Access to a dedicated Byway advisor as a single point of contact for a more personalised experience.
Redemption: The Club Discount is auto-applied at checkout for logged in users.
Application: Unless stated otherwise, the Club Discount applies to the Byway package price only. It does not apply to non-package purchases, third-party fees, city taxes, payment fees, amendment fees, cancellation charges, gift cards, or any other costs or charges which Byway identifies as excluded from the Club Discount.
Compatibility: The Club Discount can be combined with other active Byway offers, marketing promotions, or referral credits unless explicitly stated otherwise in a specific promotional campaign.
Minor changes: This benefit applies strictly to the administrative fee; the Member remains responsible for any third-party cost increases, supplier charges, fare differences, accommodation increases, tax changes or other costs arising from the requested change, as outlined in section 5 of Byway’s Booking Terms and Conditions.
Unused benefits: Minor change benefits cannot be carried forward, transferred, exchanged for cash, or applied to another booking.
Major changes: Passenger name changes and any changes defined as a "major change" in the Booking Terms and Conditions are strictly excluded from this benefit and will incur standard fees or cancellation charges. If a change is considered a major change, the complimentary change benefit will not apply.
Requesting a change: Any change request must be made in writing to hello@byway.travel or, if the Member has attained the Expert Tier, directly to their designated point of contact.
Confirming a change: A change request is not confirmed until Byway has confirmed the change in writing. Any third-party cost increases or supplier charges must be accepted and paid by the Member before the change is confirmed.
Marketing correspondence: Members may receive information about exclusive promotions, offers or benefits. Marketing communications are subject to the Member’s marketing preferences and applicable law.
Unsubscribing: Members can unsubscribe from marketing emails at any time.
Unsubscribing from marketing emails will not prevent Byway from sending service messages relating to the Programme, Tier status, existing bookings, booking changes or other necessary account communications.
Opting out: Members may opt out of the Programme by contacting Byway at hello@byway.travel. Opting out of the Programme will not affect any Club Discount or benefit already applied to a confirmed booking.
Corrections: Byway may correct any obvious error relating to Tier status, Club Discounts, benefits or Account information.
Modifications and Termination: Byway reserves the right to modify, amend, suspend, or completely terminate the Byway Club Programme, including Tier thresholds, discount percentages, and specific Benefits, at its sole discretion without prior notice. Changes to the Programme will not retrospectively affect Loyalty Discounts or benefits already applied to confirmed bookings, unless the change is required by law or is necessary to prevent fraud, abuse or misuse.
Abuse and Fraud: Byway reserves the right to audit Member accounts at any time. If Byway suspects abuse, manipulation of the rolling booking system, or fraudulent activity, it reserves the right to terminate the Member’s participation in the Programme or adjust their Tier status immediately without prior notice.
Data Protection: Personal data is processed in accordance with the Byway privacy notice.
Application: These Programme Terms apply in addition to the Booking Terms and Conditions.
Conflict: If there is any conflict between these Programme Terms and the Booking Terms and Conditions in relation to a booking, the Booking Terms and Conditions will take priority unless these Programme Terms expressly state otherwise.
Member rights: Nothing in these Programme Terms limits or excludes any rights a Member has under the Booking Terms and Conditions, applicable package travel legislation, or consumer law.
